1. Who we are
BotCove is a project of FiveToClose. This policy describes the information handled in connection with botcove.si, account verification, support, and the BotCove service. Contact us at support@fivetoclose.cloud or FiveToClose, 2618 Gravois Ave, Suite 19, St. Louis, MO 63118, USA.
2. Information we handle
Account and verification. We use your email address, sign-in and verification records, consent choices, session information, and, if you use Google sign-in, a Google account identifier and verified email address. We do not receive your Google password. Confirmation and sign-in tokens are stored as hashes. Verification also involves your reply to an email and its related message information.
Workspace content and credentials. You may provide bot instructions, examples, study material, memory, tasks, model settings, API credentials, and other workspace content. We store generated results and recorded usage. API keys are encrypted at rest, with keys held by the service; this is not end-to-end encryption. An administrator operating the service may have access when needed to operate, secure, support, or comply with legal obligations.
Technical and support information. Service and web-server logs may contain IP addresses, request details, timestamps, and error information. We also receive the information you send to support.
3. How we use information
We use information to create and secure accounts, verify email access, operate your workspace, run requested tasks, estimate usage, respond to support requests, maintain the service, prevent abuse, and meet legal obligations. Account and verification emails are separate from optional marketing emails. Where applicable, processing may be based on providing the service, legitimate operational and security interests, consent, or legal obligations.
4. AI providers and other services
When you run a task, the relevant prompts, bot instructions, context, and other material needed for that request are sent to the model provider you connect. That provider handles the data under its own terms and privacy policy, and may charge you under your account. Do not submit confidential or sensitive information unless you are comfortable with the chosen provider receiving it. Google sign-in shares account identity information with us; signing in does not by itself grant access to Gmail, Drive, or Calendar. Additional integrations are not currently available in the multi-user version.
5. Emails and verification
Signup requires an email confirmation link and a reply to the verification email. Until both steps are complete, the workspace is unavailable. If verification is not completed within 24 hours of starting signup, the pending account is closed and that email address is permanently blocked from another signup. We retain the blocked email address to enforce that rule. Verification checks help establish control of an inbox; they cannot guarantee that a person is human.
We use service providers to deliver account emails. When reply verification is enabled, the text of your reply may be sent to OpenAI to assess your question and prepare a follow-up; do not include sensitive information in that reply. Optional marketing emails are subject to your separate choice. You can contact us about your marketing preferences.
6. Cookies and security
We use essential session cookies to keep you signed in and temporary authentication data to protect sign-in. Bot protection may use Cloudflare Turnstile when configured. We use security measures intended to protect information, but no system can guarantee absolute security. Keep your provider credentials safe and revoke them with the provider if you suspect compromise.
7. Retention, requests, and sharing
We retain information as needed to provide and secure the service, maintain records, and meet legal obligations. Pending signup data is closed after the verification deadline; blocked email addresses are retained to enforce the permanent signup restriction. Copies may remain in backups or provider systems. We may share information with providers used to operate the service, the model providers you choose, or when required by law. We do not sell personal information.
To ask about access, correction, deletion, or other rights that apply to you, contact support@fivetoclose.cloud. We may need to verify your identity and retain information when permitted or required by law. Deleting data from BotCove does not delete copies held by a third-party provider.

We may update this policy as the service changes. The date above identifies the latest revision. Review this page periodically.
